Invoices and payment records

Understand deposits, instalments, the next payment and the total balance.

  1. Open the invoice

    Check the invoice reference, services, total and remaining balance. View the PDF if you need a copy.

  2. Agree a payment plan

    Businesses can split an invoice into a deposit and instalments using Payment plan in the invoice’s payment options. Start with equal monthly amounts, review each amount and due date, then save. Unpaid amounts and dates can be adjusted later. A draft plan becomes visible to the client when the invoice is issued.

  3. Check what is due next

    For a payment plan, the total outstanding includes all unpaid instalments. The next payment is the amount due at the next scheduled date. For example, a £225 invoice split into three £75 payments shows £225 outstanding and £75 to pay next. After the first £75 is received, £150 remains.

  4. Open the payment options

    The invoice’s payment link shows your care business’s enabled methods. With Stripe available, pay the next instalment or full balance; a different amount is available when allowed. You initiate each card payment yourself. For a bank transfer, use the stated reference.

  5. Allow for confirmation

    An online payment appears after provider confirmation. Your care business records bank transfers and other offline payments. Contact the team if a payment has not yet appeared.

  6. Keep care payments separate from subscriptions

    Client invoices are for dog care. A business’s PawPlanner subscription is for using the software; they are separate payments.

  7. Set useful reminders

    Businesses choose due-date and optional overdue reminders in Automated emails. Clients choose whether to receive invoice and booking reminder emails. Instalment reminders follow the next unpaid payment date.
