Privacy Notice
How PawPlanner uses personal information when you visit the website, enquire, create or use an account, subscribe, contact support or use the client app.
1. Who we are and when this notice applies
Daniel Jenkins trading as PawPlanner is the controller for PawPlanner's website, enquiries, business accounts, subscriptions, security, support and legal records. Contact us at daniel@jenkinsinteractive.com or 6 Claygate Way, Eastfield, Scarborough, YO11 3FH, United Kingdom.
A dog-care business is normally the controller for the client, dog, booking, care, message, document and invoice information it places in PawPlanner. PawPlanner processes that information for the business. If your question is about those records or the care service, contact the dog-care business first; we will assist it where required.
2. Information we collect
Depending on how you use PawPlanner, we collect account and identity details; business and billing contact details; subscription, invoice and limited payment-status information; support and enquiry correspondence; login, device, IP address, session, security and audit information; optional Google account and Calendar connection information; and preferences needed to provide the Service.
When a business owner subscribes, we retain the exact acceptance statements, legal-document IDs, versions and checksums, the owner and business identity shown, authority and business-purpose confirmations, server time, selected plan and price, checkout reference, a minimised network address, bounded browser information and agreement-receipt delivery history. We use this evidence to form and administer the contract and to establish or defend legal claims.
Customer-controlled content may include client and prospect contact details, addresses, emergency and veterinary contacts, dog and care information, bookings, messages, photographs, documents, invoices and payment records. We receive this from the business, its staff, invited clients, public information-request forms and integrations they enable.
Stripe collects payment-card details directly. PawPlanner receives identifiers, status, amount, billing contact information and other limited information needed to administer the subscription, but not the full card number or security code.
3. Why we use information and lawful bases
We use account, subscription and service information because it is necessary to take steps at your request and perform our contract with the subscribing business. We use records required for tax, accounting, fraud, lawful requests and data-protection compliance to meet legal obligations.
We rely on legitimate interests to secure PawPlanner, prevent abuse, administer accounts, improve reliability and usability, respond to support, understand service performance using proportionate technical data, and establish or defend legal claims. We balance these interests against people's rights and do not use Customer-controlled care content for unrelated advertising.
Where consent is required, such as for optional direct marketing or non-essential device storage, it will be requested separately and can be withdrawn without affecting earlier lawful processing. Service and security messages are not marketing and may still be sent while an account is active.
4. Who receives information
Information is available to authorised users of the relevant business according to their role. We also use carefully selected hosting, database, storage, email, authentication, calendar, payment, security and support providers. Current material providers and purposes are listed in our Sub-processor List.
We may disclose information to professional advisers, insurers, auditors, a buyer or successor under confidentiality, courts, regulators, law enforcement or another person where reasonably necessary to comply with law, protect rights or respond to an emergency. We do not sell personal information.
5. International transfers
Some providers or their support teams may process information outside the UK. Where UK transfer restrictions apply, we use an adequacy regulation, the UK International Data Transfer Agreement, the UK Addendum to approved EU clauses, or another lawful safeguard, together with a transfer assessment where required. Contact us for information about the safeguard relevant to your data.
6. How long we keep information
We keep data only for as long as needed for the stated purpose, the Customer's lawful instructions, security, disputes and legal obligations. Account and Customer-controlled data is kept during the subscription and applicable export/deletion period. Data awaiting overwrite in protected backups is beyond ordinary use and removed through the backup cycle.
As a working retention schedule, ordinary sales enquiries are kept for up to 24 months after the last contact; routine support correspondence for up to three years; security logs for up to 12 months unless needed for an incident; and contracts, subscription invoices, payments, tax and related dispute records for up to six years after the relevant transaction or relationship. We may keep specific records longer when law, an unresolved claim or a regulator requires it, and may delete them earlier when no longer needed.
7. Your rights
Depending on the circumstances, you may have rights to be informed, access your information, correct it, erase it, restrict processing, receive portable data, object to processing based on legitimate interests, and not be subject to certain solely automated decisions. You may withdraw consent at any time where consent is the basis.
To exercise a right about PawPlanner's own records, contact us. For Customer-controlled records, contact the relevant dog-care business; we will support it. We may verify identity and an exemption may apply. PawPlanner does not make solely automated decisions about people that have legal or similarly significant effects.
8. Data-protection complaints
Email daniel@jenkinsinteractive.com with the subject "Data protection complaint". We will acknowledge a complaint within 30 days, investigate it without undue delay and explain the outcome. You may also complain to the Information Commissioner's Office at ico.org.uk or by calling 0303 123 1113. We ask that you give us the opportunity to address the concern first, but you do not have to.
9. Security and your choices
We use technical and organisational measures designed for the risk, but no internet service is completely secure. Use a strong unique password, protect your device, do not share invitation or reset links, review account access, and tell us promptly about suspected misuse.
Providing account and core service information is necessary to create and operate an account; without it, we may not be able to provide PawPlanner. Optional integrations and marketing choices can be declined. This service is intended for adults acting for a business or using a care-business invitation, not for independent use by children.
10. Changes to this notice
We may update this notice when the Service, providers or law changes. We will update the date and give prominent or direct notice of a material change where appropriate. Earlier versions will be retained where needed to demonstrate what information was provided.
